Administrative Assistant

Our client in the Mono area is currently looking to hire an Administrative Assistant to join their team.

Reporting to the Controller, the Administrative Assistant is responsible for providing administrative support to this office. The Administrative Assistant ensures that all calls are effectively transferred to the appropriate parties, accounting functions are supported, a professional image is maintained and office activities are coordinated.

 Answer and direct telephone calls
 Welcome visitors and provide information about the company when needed
 Process daily job packs/reports submitted from job site supervisors
 Submit and reconcile monthly employee expenses
 Submit and reconcile monthly credit card expenses
 Code and monitor vendor invoices and distribute monthly remittance reports
 Book travel and accommodation arrangements
 Maintain manual and paper filing systems
 Order office & other supplies
 Organize and schedule meetings + prepare & distribute minutes
 Ensure proper operation of equipment (call for repairs, maintain inventory levels etc.)
 Co-ordinate mail and courier
 Assist other departments as required
 Other administrative duties when required

Experience Requirements:
 2+ years’ experience working in an office reception/admin position
 MS Office experience a must (Word, Excel, Outlook)
 Excellent written and verbal communication skills
 40+ wpm typing speed a must
 Bilingual, English & French is a strong asset

Education Requirements:
 Grade 12 Education
 Post-Secondary Education in Administration an asset
